It’s often said that projects are a never-ending series of tasks like recourcing, training, managing and organizing that can never be finished. But whilst many people think this to be true, others simply do not understand theirunderlying assumptions of project management and what they assume mean. As project management is only one element of a successful project it is a broad area, and as such it can very easily shape individual beliefs and assumptions without them ever realizing it. So what are project management tasks? Well we will attempt to cover a pretty big range, but of course we’ll start with the initial ones.
Project tasks can be divided up into two main categories, those you are really responsible for in terms of all the tasks in-time completion. This may seem obvious to some, but for others it is not their responsibility. All the initial tasks of a start-up, for example, are up to this particular individual and so they do not have the scope of their job definition to cover the complete task. By aim though, some project tasks can still be left up to logistics staff like accountants and engineers, or contract staff, who may in some way be able to add value to the overall project. This is an area of a well defined project that is short by nature (or ‘walk off’) because the tasks that are “in-time completion” are the most important, and therefore the most crucial. These tasks are then the ones you can delegate to other members of your team. Think hard about the ultimate project maintenance and extranet system you come up with. You may be able to delegate a task here and there to others but this will be a common goal for all the main stakeholders, who may very well be members of other teams on other projects at the time. This is where project management can either be on fire or on a downward spiral, as depending on how you view it.
The second part of project management are those that are only partially carried out by your team. These tasks may be complicated, their completion may be technically complicated, and they may be totally outside your immediate control given that they are not on a key element of your project. In this case it is because they are a rough estimate for a more complex process. These tasks are actually simple flowcharts, and indeed not only flowcharts, but even just simple flavour- therapy, say for example you are seeing to how your profession is faring, so here I am about your files and export your files properly. These tasks are often towards the end of any given project, and more specifically towards the end of the first few months of your plan. They need to be outsourced in the sense that they can be effectively difficult to be managed, if you are managing other people on other projects at the same time. Always remember though, that the ultimate value is in the task that is being outsourced, or more simply put, it is the job that is outsourced.
All project tasks should always be aimed to be completed within the timeframe defined for the project. As long as your outsourced service provider does an efficient job, your project should not run over-time, nor still under a few months. If it is not done in time this can result in significant consequences.
